Digital seating chart

Digital Seating Chart terms and conditions

What your purchase includes, how to use your seating chart, and how we can help.

Version 1.1 · Updated

1. About these terms

These terms cover the Peppermint Press Digital Seating Chart, provided by Peppermint Press Pty Ltd. They are specific to this digital product. Printed stationery and any future wedding-website products have their own terms.

The Digital Seating Chart is an online tool for one event. You manage your guest list and design; guests use your event link or QR code to look up their seating information.

For this product, the digital-product refund terms below take priority over any conflicting change-of-mind or cancellation wording in our printed-stationery terms. Nothing in these terms removes rights that cannot lawfully be excluded.

2. Your purchase and access period

One eligible purchase provides one event with 6 calendar months of access from the time your order is confirmed as paid. Your stored expiry date is shown in Event settings. Changing or postponing your wedding does not change that expiry date; routine extensions are not included.

The price and currency are those shown for your purchase at checkout. Payment is processed through our Shopify store. We send the purchaser a setup email within a few minutes of payment. If it does not arrive, check your junk folder and contact us.

Your purchase includes the guest-management tools, available seating-chart designs and colour options, a guest lookup page and a downloadable QR code. Physical signs, printed stationery, custom development and other digital products are not included unless expressly listed with your order.

3. Event owners and account access

An event may have up to two registered owners, each with their own login and equal access to manage the event. Invite only someone you trust to make changes to the guest list, design and event settings. Keep your login details and access links secure.

Contact us if you believe someone has accessed your account without permission. Peppermint Press staff use separate, restricted access when support or administration is needed.

4. Your guest information

The seating chart needs a guest name. A table assignment and a short Guest Note are optional. Check that the information you enter or import is accurate and that you are authorised to provide it for this purpose.

By providing guest details, you confirm: “I’m authorised to upload these guest details and share their names, tables and any Guest Notes through this event’s seating chart.” This acknowledgement forms part of these product terms; there is no separate acknowledgement at import.

A Guest Note is shown with a matching seating result. Keep it brief and non-sensitive, such as a connection to the couple. Do not enter private contact details, health information, dietary requirements or other confidential information in a Guest Note.

You keep any rights you hold in the information you provide. You allow us to process it to supply, protect and support the service as described in the product privacy policy. Providing a guest list does not give us permission to use identifiable guest details in advertising.

5. What guests can see

The guest lookup does not require a guest account or password. Someone with the event address who enters a matching name can see the matching name, table and any Guest Note. While a guest types, up to five matching names from that event may be suggested; suggestions show names only, and the lookup never shows the full guest list.

If several guests share a name, all matching results are shown. Guest Notes can help distinguish them, but are not required. A guest without a table assignment sees a message asking them to check with the couple or event organiser.

Share your QR code and event address with your intended audience. The address and name lookup help guests find their seats; they are not a way to authenticate a guest’s identity.

6. Setup, changes and your event address

We allocate your event address after you submit your names and wedding date during setup. That issued address stays the same even if you later edit your event details. It is not a domain name that you own or can transfer, and access to the seating chart still ends at expiry or deletion.

Finishing setup saves the selected design and makes the seating chart live. After setup, saved guest changes and confirmed imports update the live chart without a separate publishing step. Design changes take effect when you choose Save design.

Review an import before confirming it. Imports update matching guests and add new guests; guests missing from the file are not automatically deleted. If a match is unclear, resolve it before completing the import.

You can pause the live site in Event settings. This stops public lookups while preserving your guest list and design. You can resume it during the access period. Pausing does not extend that period or erase information.

7. Using the service at your event

Guests need a suitable browser and an internet connection to use the seating chart. Check your link and printed QR code before the event, and consider keeping an exported guest list available to the organiser or venue if connectivity is poor.

Use the tool for your event and do not try to access other customers’ information, scrape guest results, defeat security controls or disrupt the service. Protective limits may temporarily restrict excessive requests.

Our software, designs and licensed assets remain owned by Peppermint Press or their respective rights holders. You may use the supplied seating chart and QR code for your event. This does not transfer ownership of the software, font files or design assets.

8. Change of mind and consumer rights

You may request a change-of-mind refund within seven days of purchase, provided your event has not taken place. Contact our support team within that window. We record when you made the request and manually review and process it, so our processing time does not shorten your request window.

That seven-day offer is separate from your rights if the service is faulty or does not meet applicable consumer guarantees. Those rights are not limited by the seven-day window or by your event having taken place.

Australian Consumer Law provides guarantees that cannot be excluded, including that services are supplied with due care and skill. The remedy for a problem depends on its nature and may include having it fixed, cancellation, a refund or compensation. Contact us so we can assess and address the problem. Other mandatory rights may apply where you live.

Refunds and event deletion are handled separately. Asking to delete an event does not automatically create a refund entitlement, and a refund does not automatically delete or pause the event.

9. Getting help

Use Need help? in the app, the Peppermint Press contact page, or email hello@peppermintpress.com.au. Our regular support team is available Monday–Friday during Australian business hours, and responds within one business day.

We do not promise urgent, weekend, after-hours or dedicated event-day support. Live chat may be available on our main website, but does not guarantee an immediate response.

Please tell us enough to identify your event or order. Do not send a full guest list or private guest information through ordinary support email unless a suitable secure process has been arranged.

10. Export, expiry and early deletion

Download your event and guest-list export before access expires. We send expiry reminders 30 days and seven days beforehand. At expiry, management access and public lookup close, and the deletion process removes guest data from active systems, including saved guest-list versions and imports.

If you want the event deleted sooner, contact the existing support team. Either registered owner may request this. We verify their authority and the event before an authorised administrator processes the deletion. There is no customer-side deletion form or button. Deletion is permanent; pause the site instead if you only want to stop lookups temporarily.

Deleted event addresses are retired and not allocated to another customer. Limited transaction, compliance and deletion records may remain, and backup copies are removed under the backup-retention process. The privacy policy explains the different types of information and retention.

11. Policy updates

These terms show their version and last updated date and are available through Event settings. We will explain material changes that affect existing customers. Updating a webpage does not by itself remove rights attached to an existing purchase or rights under applicable law.
